ODT to PDF: what to know

ODT to PDF is the simplest way to send a document written in LibreOffice to a public office, a school or a recruiter, who won’t need any word processor to open it. The PDF is laid out afresh: text in 11-point Helvetica, bold headings that get smaller with each level, margins of about 2 cm. Each page keeps the size and orientation of its page style (A5, Letter, landscape…); if you force A4 or Letter in the settings, it keeps only its orientation. The document’s headers and footers are carried onto every page, page numbers included, in roman numerals or restarting at 1 when the page style asks for it, except on a title page in the “First Page” style; a chapter title in a header is that of each page. The table of contents gets the PDF’s page numbers when each of its entries leads to its heading, as LibreOffice writes them; otherwise its numbers, those of the original document, are left out, and a message says so. A watermark is kept as text in the header, not across the pages, which a message points out. Without a footer, the pages are numbered at the bottom (1 / 5). Columns aligned with tabs stay aligned: each tab goes to its tab stop (left, right, centred or decimal, with its dot leader), and header and footer pictures keep their size, except a picture taller than a third of the page, brought down to that height, which a message points out; a picture wider than its place in the header or footer (the width of the text, its share of a line divided by tabs, or its cell of a table) is narrowed to that width.

Footnotes are gathered at the end of the document; comments are not carried over, and a message says so. Pending tracked changes are applied, and a message says so, quoting the text they delete. The content of a text box (text, pictures, captions) follows the paragraph it is anchored to; a one-paragraph box set in a sentence, such as a framed amount, stays in place in its line, and a box anchored to a page is placed at the start of that page’s text. Pictures and tables placed inside a table stay in their cell, and merged cells stay merged; a long table’s header rows are repeated at the top of each page, and a table too wide for the page is printed smaller and, if it still doesn’t fit, split into successive tables that repeat the first column, which a message points out. Text and bullets in the Symbol and Wingdings fonts become the characters those fonts display (α, Ω, ☑, ▪). Links stay blue, underlined and clickable, including those on a picture. A document saved with a password is refused: save it without a password in LibreOffice first.

ODT vs PDF: what’s the difference?

ODTOpenDocument Text

The open document format of LibreOffice and OpenOffice, an ISO standard. It is the free counterpart of Word’s DOCX.

PDFPortable Document Format

A document format created by Adobe in 1993 and now an ISO standard. The layout looks the same on every device, which makes it the reference format for sharing, signing and printing.

ODT to PDF: frequently asked questions

How do I keep the exact layout of my LibreOffice document?

Formatomat lays the document out again in a standard style: it does not reproduce the fonts, text colours or exact arrangement (table cell backgrounds are kept, with the light text of a cell on a dark background). For a result identical to what you see on screen, such as letterhead or a form, use LibreOffice’s built-in PDF export. For plain, readable text, the conversion here does the job.

Do the footnotes in my ODT appear in the PDF?

Yes, at the end of the document: each reference keeps its number in the text, and the notes are listed in order after a separator line. For notes at the foot of each page, use LibreOffice’s built-in PDF export.

Are my ODT files uploaded to the internet?

No. The file is read and converted by your browser, on your device. Nothing is sent to a server, and nothing is kept after you close the page.

Does converting ODT to PDF reduce quality?

Text, headings, lists, tables, images, headers and footers (section by section, first and even pages included) and notes are carried over, with a clean layout in standard fonts. Elaborate layouts (columns, the position of text boxes) are not reproduced: the text of a text box follows the paragraph it is anchored to. Letters the standard PDF fonts lack, in Polish, Czech, Greek or Cyrillic for example, stay as text thanks to an extra font embedded in the PDF; only text in another script, such as Arabic, Hebrew, Chinese, Japanese, Korean, Thai or an Indic script, is saved as pictures of pages. A check then compares the words and pictures carried over with those of the document, not their layout; for a long document it compares only the beginning, and the file’s row says so. If it finds a passage or a picture missing, a message says so.

How many ODT files can I convert?

As many as you like, for free and without signing up. Add them all, then download the results one by one or in a single ZIP. The maximum size depends on your device and browser, with a few caps that protect its memory (for example 20,000 files per archive or 5 million filled cells per workbook: see the home page FAQ); a file over one of them is not converted, and a message says so.

Does it work on iPhone and Android?

Formatomat is designed for recent browsers on computers, iPhone and Android, with no app to install. A conversion the browser cannot do (a format it cannot read or write) is refused with a message that says so.
